Job Title: Facilities Operations Specialist

Department: Facilities Operations

Reports To: Director of Facilities and Logistics

Compensation: $45,000.00-$50,000.00/year

TRS Classification: Non-classified

 

Summary:

The Facilities Operation Specialist is responsible for ensuring periodic maintenance and repairs on equipment within a facility. As a specialist, the facility must be in a clean and operational state at all times. The Specialist may also oversee renovation or remodeling. Will also oversee the maintenance of indoor and outdoor spaces. The Specialist must ensure an adequate level of supplies is kept at all times, and may work with staff members such as building management and outside service vendors. Frequent driving to various sites across the state will be required.

 

Essential Duties and Responsibilities include the following. Other duties may be assigned:

  • Relationships are paramount. Maintain strong working relationships with Epic staff, vendors, and landlords.
  • Maintain flexibility in planning, scheduling, and problem-solving
  • Assist Epic admin/staff on-site as needed
  • Troubleshoot problems between landlord, property manager, and Epic staff
  • General maintenance duty and completion of minor repairs/installations
  • Monitor work orders through work order system for the facility sites in their region
  • Document any pertinent information in work order system through comments on tickets pertaining to facility sites in their region
  • On-site and on-call support for the facilities in their region
  • Repair/Installation Assessment
  • On-site facility service scheduling, including monitoring/scheduling contracted maintenance from vendors (HVAC routine maintenance, commercial grease trap maintenance, etc.)
  • Troubleshooting problems during system failures prior to calling external vendors (HVAC issues, internet outages, etc.)
  • Scheduling/Arranging vendor access as needed for pest control, electrical, plumbing, HVAC etc.
  • Contractor management
  • Monitor workmanship of contracted janitorial vendor to ensure cleanliness is maintained
  • Ensuring janitorial vendor has needed supplies
  • Acquire multiple bids for projects outside our capabilities, as required by Epic Policy
  • New project consultation
  • Walk through facilities to inspect progress on all current projects
  • Purchasing and negotiating materials needed
  • Organization of assets and important documents
  • Conduct routine monthly inspections using the Google Form provided
  • Conduct routine quarterly inspections of the fire, life, safety (FLS) systems using the Google Form provided
  • Audit site assets annually
  • Working graduations and prom are required.

 

Supervisory Responsibilities: 

  • No supervisory duties in this role

 

Education and/or Experience:            

  • 1-year minimum verifiable experience in janitorial, construction, and/or property maintenance is required; experience in property management preferred; experience in a school setting preferred.
  • Basic knowledge of building systems such as HVAC, plumbing, electrical, or common area maintenance required.

Mathematical Skills:

Computer Skills:

                 

  • To perform this job successfully, an individual should have computer proficiency in Windows, Microsoft Office and Google Tools.
  • Must have a high aptitude to learn new software as necessary for the business operations of the school.

 

Certificates, Licenses, Registrations:

  • Current driver's license and valid car insurance

 

Other Qualifications:               

  • Must be able to pass a state-mandated background check after a conditional offer of employment is made
  • Must have favorable employment references

The person in this position works at all Epic facilities. Frequent travel to various locations across the state of Oklahoma is required. Many of these facilities will be undergoing remodel or construction. The noise level is usually moderately loud (when students or construction crews are present.)
